I have heard of too many companies paying a firm to keep them in compliance, only to be audited and find out they were not. This stuff isn't rocket science nor difficult to do, esp for a 1 truck operator. When I started 10 years ago as a young operator with a single truck, I was overwhelmed...it didn't take long to get over it. I made very simple excel spreadsheets on my computer that I still use today. (we have 5 trucks now) I have one that I enter the miles driven in each state I operate in, as well as the gallons of fuel purchased, I do this at the end of each week. It keeps a running total. At the end of the quarter when it's time to report IFTA, I simply log on to our states website, enter my password, enter my information, print my reports, and I'm done. Takes all of 5 min. I also use weekly trip envelopes. In those are the fuel reciepts, log sheets, and copies of scale tickets. On the outside front is space for state mileages, and fuel purchased. On the back is where we list our loads hauled and rates by origin-destination. These are filed each week, so in the event we are audited, all the information pertaining to any one truck is easily located in 30sec. As for a drug program, we use a national company, they send me a notice each quarter as to who is selected, they complete the randon test, I sign off that they did, and send the paperwork back. For the plates, I have a local office in a neighboring town I use, a simple phone call has my plates/permits for the year in the mail. None of this is difficult once you get used to doing it. Also not sure on your accounts recievable, but I wouldn't waste money on a factoring company either. My accounts pay promptly, one does when I hand her the tickets, most are witin the week they recieve the tickets, and some are the following week. I don't wait for my money. One poster mentioned on another topic within this forum, using a line of credit. I run on one, it allows me to pay my bills when I want too, plus if I am \"in trust\" they pay me interest. I think their website is www.vdoroadlog.com. I spent $600 and installed it myself which took about an hour. They have videos and everything to show you how it works on their website and also you don't have to pay a subscription and all updates to the logbook rules are free. It is so much easier than dealing with paper. It also does pre trip and post trip inspections that you can record on your computer so if you get audited all you have to do is take your laptop and everything is on there they can scroll through and find what you need. Also if you get pulled over and don't want the officer to crawl in your truck to look at your digital logbook, there is a built in printer that you just hit a button and the log prints out and you give it to him. The printer is thermal so you never have to worry about replacing ink, just put paper in when it runs out. You can order everything you need right off of their website and two rolls of paper are like $10.
